How can I prove the Insurance Ombudsman received my documents?

I sent documents to the Insurance Ombudsman by email and by courier, but got no acknowledgement. I'm worried the complaint will be closed for non-submission. How do I prove they were received?

Insurance Ombudsman complaints do get closed for "non-submission of documents" even when documents were sent. Their complaint system doesn't log each email received.

Protect yourself:

  1. Send by email to every official address listed for that office, and keep the sent email with attachments.
  2. Also send a physical copy by trackable courier and keep the proof of delivery.
  3. Write to ask for acknowledgement, quoting both dates.
  4. If none comes, file an RTI (₹10, at rtionline.gov.in). The Insurance Ombudsman offices are public authorities. Ask:
    • whether your email of [date] and courier delivered on [date] were received, and on what dates;
    • whether they were recorded in the complaint management system, with the entry timestamps;
    • for certified copies of the inward register entries for the courier;
    • the name and designation of the officer handling your complaint.
  5. If the complaint was already closed for non-submission, use the RTI reply to show the documents were received, and ask for it to be reopened.

An RTI reply confirming receipt is hard for the office to argue with. More on how the Ombudsman process works in practice: BimaFiles: Insurance Ombudsman.
